Contractors

Introduction

This information guide will assist the user with creating, managing/editing and using Contractors on Safety 360 Elite.

To create and manage Contractors on the system the following must be in place:

  • Employee created on system
  • Employee have user access to system
  • User must have Contractor Manager HSE Role activated

This guide will go through the following options:

Contractors Dashboard

On the left navigation pane of Safety 360 Elite, you will find the Contractors portal as shown below.

Here you will find the following options.

On the left navigation pane of Safety 360 Elite, you will find the Contractors portal as shown below.

This is the Main Contractor Register. Here you will see all linked and created Contractors from all Types. You can use the Search box (1) or Contractor Type selector (2) to easily find any Contractor Profile. You can click a Profile to open Contractor Dashboard (3) and Download to get CSV (4) list.

A Standard Contractor Dashboard will show the following:

360Community suppliers are responsible for their own Company Profile. They can make changes and updates that will reflect here, unlike Standard Contractors where you need to manage Profile:

360Community suppliers are responsible for their own Company Profile. They can share files/employees/inventory with you with them.

Clients

On the left navigation pane of Safety 360 Elite, you will find the Contractors portal as shown below.

Like Main Contractor Register, this list will show all the 360Community connected companies that was added as Client (see Slide..) Clients and Contractors are virtually the same, just a different label. They are both referred to as Connected Companies.

You can make use of the Search box (1) or the Contractor Type filter (2) to easily find your Clients. You can also click the Download button (3) to export the list in CSV.

Requests

On the left navigation pane of Safety 360 Elite, you will find the Contractors portal as shown below.

This is where you will see all Incoming Requests. If a 360Community supplier wants to engage with you, they will first Request a link which will show here. The same if you want to link with a supplier (See Slide…), they will navigate to their Requests tab to approve.

The Request will show the User and System that requested the Link (1), when the link was requested (2) as well as ability to Approve/Reject Request (3).

If you Approve the request, linking will be complete, and you will find the supplier on your main Contractor or Client register.

Add New Contractor

On the left navigation pane of Safety 360 Elite, you will find the Contractors portal as shown below. From there click “Add New Contractor”

The first window will require you to choose what type of Contractor/Client you want to add.

There are 3 types of Contractors/Clients: 360Community, Contractor Plus and Standard Contractor.

Types of Contractors/Clients explained below:

When adding a New 360Community Supplier you will find a search box (1) and a list of all available 360Community Suppliers (2). From this list you can Add as Contractor (3) or Add as Client (4).

 

360Community Settings

Only Suppliers that have their own Safety 360 Elite subscription, and that have marked themselves as available in their System Settings can be linked.

To activate sharing: head to Settings and make sure Community Status is enabled as shown below.

 

Contractor Plus

Contractor Plus systems are linked to Principal Contractor/Client systems. Please contact support@affsaf.co.za or your assigned Implementor to enquire about linking Contractors Plus subscribers to your system.

 

Standard Contractor

Adding Standard Contractors is easy and there are no limits on Contractor Profiles or Contacts. Your First step would be to complete the “Add a new standard contractor” page shown below.

Shared Employees

On the left navigation pane of Safety 360 Elite, you will find the Contractors portal as shown below. (See Guide: https://affsaf.co.za/shared-contractor-employees/ )

The Shared Employee Register will show all employees from all types of Contractors that have been added and shared. This also includes Contacts created for Standard Contractors. From the main list you can use Search (1), filter by Region (2) and filter by Connected Company (3).

You can also Update Employee Region (4) and download a CSV list (5). Click any profile to open Shared Employee Dashboard

Update Employee Region

As the Principal Contractor/Client you can group Shared Employees into your Regions. Shared Employees added to a Region cannot be used in other Regions.

Shared Inventory

On the left navigation pane of Safety 360 Elite, you will find the Contractors portal as shown below.

The Shared Inventory register will show all Inventory items shared by your Connected Companies. For more information see Guide on Shared Contractor Inventory. From this list you can use Search (1), Filter by Region (2) and by Connected Company (3).

You can also Update Inventory Region (4) and Download CSV of register (5)
