Emergency Preparedness
V1.0 Guide
Introduction
This information guide will help you create and manage emergency
preparedness on Safety 360 Elite.
To manage emergency preparedness on the system, the following
must be in place:
- Active Safety 360 Elite Full system.
- Control user privileges must be provided
- If not Control User, the employee must have Emergency drill
Coordinator, Emergency Controller or Hazardous chemical
Coordinator Feature Role.
Emergency Preparedness
Emergency Preparedness can be found on the left navigation pane under the System tab.
Inside the Emergency preparedness, you will see these 4 cards:
How to create an Emergency Preparedness Competence
To start click “Emergency Preparedness Competence ” card. This will open the View and manage your Competence page. Select a competence role, line item or the plus to create a new role as shown below.
Creating a new Competence Role.
Add the title of the emergency competence.
Setting up the details of your new competence.
This will add your new competence to the list of Emergency Preparedness Competence Page.
In the dropdown you will see the details of your Competence. Start building your Competence Team.
In the drop-down you will see the details of your Competence. Start building your team.
Tick the boxes of the employees you are selecting.
Competence Overview Dashboard
Managing your team’s competence is linked to the Competence Manager feature Please follow the guide to create competencies to select your team from.
- Pen icon to edit emergency competence
- Where you download PDF of the emergency preparedness competence
- Where you set up a QR code to give access to all who scan it to view this Competence
- Where you click to archive emergency preparedness competence
- Display of your selection
- Were you add the team members to your competency
Guide to Hazardous Chemicals
This is where you can create/manage emergency hazardous chemicals.
Select the line item or select the plus to add chemicals
Add details of your Hazardous chemical in this table. When done select “confirm.
Emergency Drills
This card allows you to view and manage your Emergency drills.
Selecting this card will open 5 new cards.
Let’s look at what each card do.
Emergency Drill - Create
This card allows you to create a new Emergency Drill.
Specify the type of emergency drill and when you want to initiate it. Add a checklist to your drill..
The top part of the overview page:
- Revert the drill back to draft
- Send emails notification to participants informing them of the drill
- Create a pdf of the drill details
- Takes you to your Email send receive page
- The pen allows you to edit detail on the page
- Generate a QR code for the drill that can be scanned
Place the drill in archive
Selecting ‘Send Email’ will forward a message to the person responsible for the Drill, the assistants, and the participants.
Bottom part of the overview page:
Rooms: Select the plus symbol to add the drill to a specific room, this is optional
Participants: Add employees, contractors and visitors to the list of delegates assigned as part of the Drill
Emergency Drill - Participants
Select between Employee or Visitors, marked red, to start adding your Employees or visitors, Select between From company, Department or Team.
Add Drill Participants: Select between employees or Visitors.
To add more members, repeat the process.
Emergency Drill – Start Drill
Once all the participants have been added the: “Start Drill” becomes available.
Select “Start Drill” to commence your drill.
Once ‘Start Drill’ is selected, it will take you back to the “Overview” page ,at the bottom you will see the following 2 steps needs to be completed.
Add your findings to this column by selecting the clipboard icon.
Action the Drill checklist and sign it off. The document will now be moved to the “Ongoing Emergency Drills” card.
Emergency Drill – Ongoing Emergency Drill
Once the checklist is completed, the document will be sent the document to the ongoing emergency drills, select your drill and sign it off.
To finalize the drill, select the Sign-off Drill. This will move the drill to the Completed. The document Overview will allow you to download a PDF of the drill, or you can return it to draft.

Emergency Preparedness aims to assist you in managing emergency preparedness competencies and hazardous chemicals.
Knowing who is involved and what will happen during an actual emergency drill is vital to any company.
