Management of PPE

Introduction

This information guide will assist the control user with uploading, managing and utilizing, PPE items, on Safety 360 Elite.

Only “Control Users” and “PPE Manager” can load and manage PPE items on the System.

This feature allows for keeping track of PPE equipment. PPE items can be managed according to the region.

This guide to PPE Management will explore the following:

View and Create PPE Items

Make your way to PPE on the left-hand pane and select the PPE card.

Let’s look at what each card does in more detail.

Creating PPE Items

Here you can view and create a new PPE item.

Select the plus symbol to add to your list of PPE items.

By selecting one of the PPE items you have created, you can get an overall view of your item, you can update the description, download a QR code, and add an image of the item.

From the “PPE type tab”: select the type of PPE you are loading to the system.

In the PPE Name tab: Name the type of PPE you are loading.

You can also add further descriptions, which are optional.

I have created  “Eye protection” and called it “Gas Welding Goggles” and have used the Optional Description tab to make sure it is only issued to welders.

Click on the Create PPE Item. It will then be added to the list of your PPE items.

Managing PPE Items

Make your way to PPE on the left-hand pane and select the PPE Assessment card.

By selecting the plus tab, you can assess your PPE item

By Selecting one of your assessments, You can:

  • Archive the selected item,
  • Download a PDF of the item or
  • Edit the information

Add your Risk Assessment to your PPE assessment.

PPE mitigations listed as “planned” will be added as a PPE item.

PPE mitigations listed as “existing” will pull items from your PPE library.

Here you will see details relating to your PPE Assessment.

My “Demo Baseline Risk Assessment” is linked to the PPE item.

When selecting the Plus, you can select the PPE item for assessment and add the quantity.

On completion of the assessment, you can sign the assessment.

Manage PPE: Issue Items to Employees

Issue and verify a PPE item to an employee.

View Issue a PPE item to an employee.

By Selecting the plus symbol, you can issue your PPE Items to employees.

Additionally, you can view details relating to the item by clicking on the line item. This action will open a detailed description of who was issued what PPE and whether the employee signed for the item.

Issue a PPE item to an employee.

Select the employee who will receive the PPE Items from a drop-down list.

Then, select the PPE item by ticking the boxes and then the “Tick” at the top.

Type the name in the search box, if you have a long list of PPE items.

On the dropdown list you will see your employee did not sign for the items received. Select sign and allow your employee to sign on your device.

On the dropdown select sign now or you can send the employee an email to sign for the items.

NB: Only after refreshing your system the sign option will change from “Not signed” to “Signed”.

Select the line item, this will open a detailed list of the items issued to the employee.

Click on the blue arrow, this will take you to the employee tab. Scroll down to “PPE Items issued to you”.

Selecting the line item will open an auto download option showing the signed PDF.

View/Issue a PPE item to an employee.

It can happen that you cannot issue your PPE Items to employees, whose profile is not up to date. (PPE sizes not loaded)

Click on the arrow to take you to the employee profile to load PPE Sizes.

Update employee sizes by selecting the main group.

Update the PPE size on the drop-down.

After completing the update, make your way back to PPE and issue the needed PPE items.
